OBLIGATIONS

The students who are holders of the Beca EUSA Internacional must read carefully the requirements and the information of the call. Only by doing this, the student will be able to fill the adequate procedure established to enjoy his/her stay abroad.

WHAT TO DO BEFORE YOU LEAVE

Enrolment and Admission

The student must carry out the procedures established by the host university in order to register and be admitted in that institution. This university may contact the students, so students must check their email regularly without forgetting about the spam folder. If after some time they do not receive any information, they should contact the International Office of EUSA.

Important: read carefully the information received and remember the deadlines for any documentation required by the host university. If you do not do so on time, they have the right to refuse the admission to any student who does not fulfil their obligations.

Study Agreement and Enrolment

The student who is interested must sign at the International Office of EUSA the Study Agreement (Annex 6 of the requirements of the call), already completed and signed by the Head of Studies, at least 1 month before the student’s departure to the host university. The student will send this agreement to the host university for its signature.

This document will be filled out with the help of the Degree Coordinator and will include the courses that will be taken at the host university as well as those that will be validated by EUSA. The student will be able to suggest courses to be taken at the host university (visit your university’s website) to be included in the agreement. This document will be effective when signed by the student, the host university and EUSA. Study Agreements that have not been reviewed by EUSA will not be accepted.

Once at the destination it is likely that modifications will have to be made, for which the student should contact the EUSA International Office and Head of Studies. Do not forget that if the modification affects the courses you have enrolled for at EUSA, the student must also inform the Secretariat to make the change. This modification must be solved in the shortest time possible from the arrival at the host university and within a maximum period of three weeks.

Tuition waivers at some host universities never involve price waivers in EUSA. For the validation of courses, each student must pay the full amount that belongs to their enrolment during the course at EUSA as usual, in the same period as always, always indicating to the Secretary which courses they will take abroad. If any modification of the original enrolment fee at EUSA that arises from a change in the study agreement is made, the student must tell the Secretary.

Submit 2 passport size photos to the International Office to complete the study agreement.

DOCUMENTS to be sent to the International Office: internationaloffice@eusa.es.

  • Signed Financial Agreement (Annex 3 of the requirements of the call).
  • Certificate of travel (Annex 4), with the exact date of travel.
  • Insurance policy including repatriation. In European destinations it is required to obtain the European Health Insurance Card. Likewise, all the insurance requirements established by the destination university must be met.
  • Copy of the one-way ticket to the destination according to the deadline established in the requirements.

Due to the limitations to travel due to the current alarm situation, we recommend not buying tickets for flights without the possibility of changes until the mobility is confirmed.

Accommodation

The search for accommodation in the destination country is the responsibility of the student. This task takes a lot of time, so we recommend doing it from the very beginning. Usually, exchange students shuffle between the two most common options: university residence or shared apartment.

Some destinations offer accommodation services in the university’s own residences or others they have an agreement with. They usually publish it on their website or let students know about it by sending them an informative email. If you have any doubts, we recommend you to contact the coordinators of the destination universities and ask for this service or any other information that may help you. Leaving a week before the start of classes will always be helpful to the student.

ONCE THERE

Student Agreement

Review the study agreement with the class schedules so that courses do not overlap. If this is the case, let the International Office/Head of Studies know so that they can study the modification of the agreement and, if approved, in case the modification affects enrolment in the EUSA, the student must notify the Secretary of the Center. The student will be able to add courses from the host university chosen of his/her interest. The modification will be made in the shortest time possible, within 1 MONTH from the date of arrival, and must be signed by: the student, the home university and the host university (all of them). Check out the point 2 of the first block.

Qualifications

Before coming back, all students must obtain their report card (grades) which must be submitted to the International Office of EUSA for the validation of subjects. Without this document it will not be possible to recognize the courses taken abroad, therefore, the student must indicate to the International Office of EUSA, by what means and when they will arrive to proceed with the recognition of credits.

AFTER COMING BACK

Documents

  • The Original Certificate of Stay (Annex 5) must be signed by the host institution and delivered to the International Office within 15 working days of the student’s return.
  • The Student Report will be sent to the student via email when the Certificate of Stay is delivered. It must be completed.
  • The official qualifications of the beneficiary must be delivered to the International Office or, in its absence, you must indicate by what means they will arrive in order to proceed to the recognition of credits, if applicable.

CURRENT STATE OF ALARM

Due to the current situation of global COVID-19 crisis, these mobilities are subject to possible changes of postponement or cancellation depending on the admission protocols of each of the universities and countries of destination, as well as the health and safety protocols of EUSA. The International Office will inform the students of any modification that could arise with the calendar for the accomplishment of these mobilities.

RECOMMENDATIONS

Check your host university’s website: every exchange student should become familiar with their host university’s website. There they will find useful information about the study plans, schedules, housing, registration/enrolment, calendar, deadlines for sending the required documents, etc. Remember that generally all universities have a section called “International”, “Exchange”, “Study Abroad” or similar that you should check, as this is where you will find important and very useful information for your stay.
